Delete, Delete, Delete?
5 Tips for Managing Email
1. Use a filing system. Create a subfolder for each client/job, group all current emails for that client/job and move them to that folder, and then have new mail go directly to that folder when it arrives. (Filters can help you do this automatically.)
2. Delete space wasters (you know who they are). Each week--or day--many of us get emails from well-meaning folks who bombard us with fun but very large, space-eating wave files and photos. Highlight all of those emails, and hit delete. Just do it.
3. Detach and conquer. If you want to keep the body of an email that has very large attachments, save the attachments, so the storage is outside your emailbox, and then detach them from the email.
4. Put "must answer" emails in a separate "must answer" folder. Sometimes we intend to reply to emails, but get distracted, and then those emails pile up or get lost in the shuffle of other incoming mail. If you can't answer something immediately, put it in a holding area where you know you can find it.
5. Archive your emails. If you're the type who just can't part with anything, but still want a clean inbox, look into an email archive service, which reduces volume overloads while giving you searchable access to your old data. You can have your cake and eat it too.
